Six weeks ahead: courts and a coach
Book two to four courts for two hours, depending on your group size; count on four players per court taking turns. Ask the club for a coach for the first half hour at the same time. Half an hour of instruction is the difference between a fun afternoon and a frustrating one.
This is where the keepsake comes in. Participants play the clinic with their own racket and take it home afterwards. That is the difference between an outing that gets forgotten and a racket that keeps going to the court for years with your logo on it. Allow for a production time of several weeks and order well ahead.
The week itself: keep it small
A clinic organises itself once the courts and the rackets are there. Put water on the court and something to eat afterwards.

Courts and coach vary per club, but count on a few hundred euros. The rackets are the biggest item and at the same time the only part that still exists after the afternoon itself.
